IBM Services Parts Order Desk (Tagalog) in PETALING JAYA, Malaysia

Job Description

  • Daily Operations]

  • Handle in bound and out bound calls & manage email queries

  • Analyze request and ability to make judgement based on checklist/rules/policy

  • Resolve issues and direct requests to appropriate departments based on policy

  • Order Processing

  • Encode request in system within Service Level

-Provide feedback on availability and ETA of parts to requestor

  • Create delivery order according to approved delivery address & coordinate with warehouse outbound team

  • Accommodate orders and inquiries, which may include the following:

-Providing guidance on process and other requirements;

-Identifying parts which requestor might need; and

-Identifying estimate time of availability of parts when not available.

[Invoice Monitoring]

  • Print service parts invoices, deliver to service centers, and monitor receiving of documents

  • Ensure service parts invoices are delivered in timely manner

  • Provide regular reports on invoices when and where required

  • Accommodate retrieval of proof of invoice delivery when required

  • [VOCs for Parts Delivery]

  • Address and ensure complete resolution on concerns and issues

  • Ensure resolution is in compliant with processes and closed on time

  • [Others] Miscellaneous requests concerning parts orders and parts deliveries.

Required Technical and Professional Expertise

  • A Min Diploma in any area of study

  • Fresh Graduates with good customer services skills will be considered; OR

  • 2-3 years of experience in handling administrative work or in a customer service role

  • Experience in G-ERP or SAP will be an added advantage

Preferred Tech and Prof Experience

  • Excellent Customer Service skills

  • Proactive in handling tasks

  • Could navigate computer systems and applications quickly & efficiently

  • Skills in MS Excel


  • Must have good English Language skills, both written and spoken for English Operations; Or

Must have good language skills, both written and spoken for Language Operations (Thai, Indonesian, Vietnamese, Tagalog) and basic spoken English (for internal communication purposes).
