IBM Administrative Specialist - Part time in NEW YORK, New York

Job Description

This is a part time and remote position with a duration of up to 3 years. Position must be filled in NY.

This role is a job sharing role among 2 employees:

The two employees work 3 hour shifts and switching shifts each day:

  • 6 am - 9 am

  • 9am - 12pm

Overtime and holiday work may be required.

This role manages the signing of contracts for one of IBM's US Subsidiaries.


  • Follow the process put in place by Corporate Legal with regards to how these contracts are signed.

  • These contracts will be delivered by email for hard copy signing, digital signing and via IBM's eSign tool.

  • Utilization of template documents and in time identify discrepancies in the documents that are sent to them for signature.

  • Mailing of documents to the respective countries is done on a weekly basis and filing of all documents is required

  • Daily communication with both counterpart working opposite hours and the Corporate Legal contact responsible for the Electronic Approval Process to ensure seamless running of the process.

  • Interactions with IBM employees in Europe, Middle East, Africa and Vietnam, specifically in the legal and contract areas.

Required Technical and Professional Expertise

  • Good communication and organizational skills a must.

  • Proficiency in Lotus Notes

Preferred Tech and Prof Experience

  • Database knowledge.

  • Understanding of basic contracts.

  • Use of Adobe Digital Signature
